Getting Started

1) What do I use ECOC for?

Use ECOC to submit your project, sample details, and requested analyses to AGAT before dropping off or shipping samples.

2) What do I use Bottle Order (EBO) for?

Use EBO to request bottles, preservatives, coolers, custody seals, and other supplies before sampling.

3) Do I need both an EBO and an ECOC?

Not always.

If you already have bottles/supplies, you may only need an ECOC.

If you need supplies, submit an EBO.

Many programs use both (EBO for supply requests + ECOC for submission).

4) Can I create an ECOC from a Bottle Order?

Yes. Create ECOC Based on Bottle Order pre-populates analyses and container requirements from your EBO.

5) Can I create a Bottle Order from an ECOC?

Where enabled, yes. This aligns bottle/supply preparation with confirmed testing requirements from the ECOC.

Creating and Submitting

6) What information is required to submit an ECOC?

At minimum, you’ll need:

  • AGAT location selection
  • Client Project #
  • At least one analysis
  • Sample IDs and sampling details (as applicable)
  • Acceptance of Terms & Conditions at submission
7) Why do I have to pick an AGAT location first?

The selected location determines available matrices, test packages, and regional options, and routes notifications to the correct AGAT team.

8) Can I save an ECOC and finish it later?

Yes. You can save progress and return later before submitting.

9) Can I edit an ECOC after it’s submitted?

Edits are only possible if the ECOC status still allows changes. If it has been submitted into internal processing, contact AGAT to request updates.

10) Can I reuse a previous ECOC?

Yes. Clone ECOC copies key submission information so you can update only what changed (ideal for routine monitoring).

11) How do I submit large sample lists quickly?

Use Import Excel File to upload sample and analysis information using the approved template. The system validates the data and populates the ECOC.

Analyses, Containers and Warnings

12) Why do containers and preservatives auto-fill?

They are linked to AGAT’s sampling requirements for the selected analysis to support method compliance and reduce errors.

13) What does it mean if my analysis row turns red?

A red highlight indicates a non-conformance warning (your selected containers/preservatives/quantities don’t match standard requirements). This may result in:

  • Qualification/disclaimer on results (COA)
  • Possible resampling if requirements aren’t met
14) Why can’t I see a test package I’m looking for?

Available analyses depend on:

  • Selected lab location
  • Selected matrix
    If the testing is performed in a different region, use All Analysis (where available).
15) What is “Bottle Filtered” and when should I select it?

Select Bottle Filtered if filtration was completed in the field prior to submission for that analysis.

Turnaround Time, Reporting and Contacts

16) How is Turnaround Time (TAT) applied?

TAT starts when samples are received at the lab. One TAT applies to the entire ECOC.

17) What if I need different TATs for different samples?

Submit separate ECOCs for different TAT requirements.

18) Can I send reports to multiple people?

Yes. Add multiple report distribution contacts for COAs and sample receipt notifications.

19) What report formats are available?

You can select common COA format options (e.g., single vs multiple samples per page). Custom exports may be available if configured.

Billing and Reference Numbers

20) What billing information should I include?

If applicable:

  • SO/MSA Number (must match AGAT records)
  • PO Number
  • Quote Number (required when pricing is based on a quote)
21) What happens if I don’t enter the Quote Number?

If your pricing is based on a quote, missing the Quote Number may result in standard pricing being applied or invoicing follow-up/corrections.

Samples, Holds and Special Handling

22) What are “Holds” and why would I select them?

Holds instruct AGAT to retain samples for a defined period (30 days, 6 months, 12 months) in case you need follow-up testing.

23) What does “Contaminated/Hazardous” mean?

Selecting this flag helps ensure samples are handled safely and routed appropriately for internal precautions.

24) Can I add special instructions?

Yes. The submit page includes a free-text field for special notes related to your submission.

Submission Confirmation and Tracking

25) What happens when I click Submit?

Submission triggers:

  • An email notification to AGAT’s internal ECOC mailbox (based on location)
  • CC to the contacts listed on the ECOC
  • Links to view/download the ECOC
26) Can I print a copy of the ECOC?

Yes. You can view/print the final ECOC before or after submission (subject to access and status).

Bottle Order (EBO): Ordering Supplies

27) What’s required to submit a Bottle Order?

At minimum:

  • Company and Client Project #
  • Delivery method and required date
  • Bottle records (matrix + analysis) and quantities
  • Any required supplies (coolers, ice packs, labels, etc.)
28) What delivery methods are available?
  • Pick up at lab
  • Ship to client location
  • Assign to branch
29) Can I clone a Bottle Order?

Yes. Clone Bottle Order is recommended for recurring programs.

30) Are some supplies billable?

Some specialty containers/supplies may be billable. If billable items are included, a valid billing route (e.g., supply WO internally) may be required.
